Seamless Migration of Emails from One Hosting Provider to Office 365

Background:
Our client relies heavily on email communications for their daily business operations. They approached us with the need to migrate their email system from their current hosting provider to Office 365. The challenge was to execute the migration efficiently with minimal downtime and ensuring a smooth transition for all 70 email addresses.

Objective:
To migrate our client’s email system from their existing hosting provider to Office 365 without disruptions, ensuring data integrity and minimal downtime

Execution:
To ensure a smooth transition, we advised to migrate our client’s email system to Office 365 over a long weekend. With a team of 4 skilled engineers, we started on Thursday evening, restricting user access to their emails to prevent data loss and backed up all emails from the current host provider.

Leveraging on Office 365’s 50GB storage capacity per email account in the cloud, we streamlined the migration process by grouping all archived emails into a single folder for the migration. While the domain propagation process was ongoing, we created user profiles, distribution groups, and implemented security policies in the Microsoft admin portal, as well as installing Microsoft apps in all the computers.

On Sunday morning, the email migration was successfully completed. To ensure integrity of the migrated emails data, we powered on each pc and verified that all emails were successfully pushed into the Microsoft Server and promptly addressed any post-migration issues. The entire email migration project was successfully concluded on Sunday evening with minimal disruption to our client’s business operations.

Post-Migration Support:
Understanding that the new email hosting system might be unfamiliar to many users, we proactively deployed 2 engineers on Monday morning to provide comprehensive assistance and address any queries or concerns raised by the users.
